Information Technology

The department of Information Technology and Accountability includes the oversight of Student Registration for all schools in the system, the management of our system Student Information System (SIS), all data transmissions to the Georgia Department of Education for data collections, our department also oversees management of the rostering and single sign-on (SSO) for instructional technology programs in the system, and the oversight of the Athletic Budget for all schools.

Student Registration

Utilizing a centralized enrollment process the department enrolled approximately 2300 new students while withdrawing 325 students and moving 161 students within the district. The department printed and distributed over 25,000 reports cards, and processed over 4,100 attendance letters to be printed and mailed. PreK roundup was conducted in February and over 412 new students for 2021-22 PreK were processed and entered into the SIS.

Centralized Enrollment also verifies address of students. Some addresses require a residency affidavit which must be referred to a system resource officer, and the department works to verify addresses when mail is returned or when the school administration has a concern regarding the residence of a student. Our system registrars also work with the system social workers and school SPED coordinators to correctly identify students who may classify as homeless, federally connected, ESOL, SPED, EIP, etc.

Centralized Enrollment complies with all state data collection requirements by compiling over 250 data elements on each of the more than 10,000 students in the system. This data is then validated against over 2000 edits which generate errors and warnings. These are then individually reviewed upon receipt to ensure accuracy and maximum funding.

Information Technology is responsible for nightly extracts from our Student Information System (SIS) to various instructional and information technology titles. The department oversees the integration of Clever as an instructional dashboard which provides Single Sign On (SSO) for all system purchased software titles, and allows rostering and student management for staff and teachers in a universal platform. Clever is the launching pad for 20+ instructional software applications. This department also administers nightly data extracts to several vendors who are not compatible with Clever (Renaissance, Café Enterprise, SchoolCare, Checkmate, Classworks, Illuminate, etc.). Information Technology also serves as district administrator for all instructional programs, including programs utilized for instruction at our alternative school and our Performance Learning Center.

In addition to student information and ensuring that all aspects of FERPA are being met, the Centralized Enrollment department is responsible for the academic scheduling of all students K-8, generating and printing of report cards K-8, generating and sending attendance letters, verification on any returned attendance letters, and identification of all SLO courses. In addition, Centralized Enrollment generates all Honor Roll reports for newspaper publication, as well as establishes each school and course for a new school term within the SIS. Our system registrars work with teachers on entering grades into their gradebook within the SIS, as well as generating logins and working with parents to troubleshoot issues with parent portal. Parent portal gives parents access to student information regarding grades, attendance, and behavior for their child/children. During the 2021-2022 school year there were over 45,000 successful logins to Parent Portal, and 30,000 successful student portal logins.

Centralized Enrollment oversees Pre-K registration and our system Kindergarten Registration each spring.

Athletic Budget

The Department of Information and Technology and Accountability also oversees the development and implementation of all athletic budgets and ticket sales.
